AI Alliance Community, Inc. is a U.S. 501(c)(3) nonprofit research and technology organization. In this Privacy Statement, “AI Alliance,” “we,” “us,” and “our” refer to AI Alliance Community, Inc.

AI Alliance Community may coordinate with its partner organization, AI Alliance Innovation Association, a U.S. 501(c)(6) nonprofit organization, in support of related programs, initiatives, events, member engagement, operations, and activities that support the broader AI Alliance mission.

This Privacy Statement explains how we collect, use, share, and protect personal information when people visit our websites, subscribe to our communications, join or apply to working groups, attend events, participate in programs, contact us, work with us, or otherwise interact with the AI Alliance Community.

This Statement applies to AI Alliance Community, Inc. unless we say otherwise. Some programs, events, or projects may have additional privacy notices. If we work jointly with a member organization, project host, event platform, or partner, that organization may also collect and use personal information under its own privacy policy.

1. Information We Collect

We collect personal information that is reasonably needed to operate our nonprofit programs, support our community, and pursue our mission. This may include:

  • Contact and profile information, such as your name, email address, organization, role, professional affiliation, areas of interest, and other information you provide.
  • Program and event information, such as working group participation, event registrations, attendance, preferences, and engagement with AI Alliance programs.
  • Website and device information, such as IP address, browser type, device type, operating system, pages visited, referring URLs, links selected, and similar usage information.
  • Communications and inquiry information, such as messages you send us, support requests, form submissions, and related correspondence.
  • Member and partner relationship information, such as business contact information and information needed to coordinate participation in AI Alliance projects, programs, or events.
  • Recruitment, contractor, advisor, and contributor information, if you apply for or are considered for a role, fellowship, advisory position, contractor engagement, or similar opportunity.
  • Security and operations information, such as access logs and information needed to protect our systems, investigate suspicious activity, comply with law, or defend our rights.
  • Public professional information, such as publicly available information about publications, talks, open-source contributions, or areas of expertise, where relevant to our mission and programs.

Our websites, programs, and services are not intended for children under 16, and we do not knowingly collect personal information from children under 16.

2. How We Use Information

We use personal information to:

  • operate our websites, programs, working groups, events, and community platforms;
  • communicate with you about AI Alliance projects, events, newsletters, working groups, and opportunities;
  • manage membership, partnership, volunteer, contractor, advisor, and contributor relationships;
  • coordinate activities with AI Alliance Innovation Association where relevant to related programs, initiatives, events, operations, or the broader AI Alliance mission;
  • respond to questions, requests, and support needs;
  • personalize and improve our websites, communications, and programs;
  • understand community interests and measure program impact, including through aggregated reporting;
  • protect our systems, community, and organization from fraud, abuse, security threats, and unauthorized access;
  • comply with legal, accounting, audit, grant reporting, tax, and other nonprofit obligations;
  • evaluate candidates, contributors, advisors, fellows, contractors, or staff; and
  • enforce our rights and resolve disputes.

We do not sell personal information for money. We may use analytics, cookies, pixels, and similar tools to understand engagement with our content and, where permitted, to support awareness campaigns about AI Alliance programs. You may have the right to opt out of certain uses, as described below.

We may use AI-assisted tools in our operations, such as tools for drafting, summarizing, organizing, or analyzing information. We do not use personal information collected through our programs to train third-party AI models without an appropriate basis to do so.

3. Cookies and Similar Technologies

We and our service providers may use cookies, pixels, tags, web beacons, local storage, and similar technologies to operate our websites, remember preferences, understand how our websites and emails are used, improve performance, support forms and registration flows, and measure engagement.

Some of these technologies may be provided by vendors such as website, CRM, analytics, event, email, advertising, or social media platforms.

4. How We Share Information

We share personal information only as needed for legitimate nonprofit, operational, legal, security, and mission-related purposes. We may share information with:

  • AI Alliance Innovation Association, our partner organization, which is a U.S. 501(c)(6) nonprofit organization, where sharing is reasonably needed to coordinate related programs, initiatives, events, member engagement, operations, or other activities that support the broader AI Alliance mission;
  • service providers and vendors that help us operate our websites, CRM, email, analytics, event registration, collaboration tools, security systems, community platforms, and related services;
  • member organizations, project leads, event hosts, and partners, when needed to coordinate working groups, projects, programs, events, or community participation;
  • professional advisors, such as lawyers, auditors, insurers, accountants, and consultants;
  • financial institutions, payment processors, grant administrators, and fulfillment partners, where needed for transactions, programs, or operations;
  • analytics, advertising, and social media platforms, where used for awareness campaigns, engagement measurement, or similar purposes, subject to your choices and applicable law;
  • government authorities, courts, regulators, or other third parties, where required by law or necessary to protect rights, safety, security, or prevent fraud; and
  • successor organizations, if we restructure, merge, transfer a program, or reorganize.

When we use third-party platforms such as GitHub, Slack, Luma, Google, HubSpot, Meta, or similar services, your use of those platforms may also be governed by their own privacy policies and terms.

5. International Transfers

AI Alliance Community is based in the United States, and our community, vendors, partners, and participants may be located around the world. As a result, personal information may be transferred to, stored in, or accessed from countries other than where you live.

Where required, we use appropriate safeguards for international transfers, such as contractual protections, vendor certifications, or other mechanisms recognized by applicable law.

6. Security and Retention

We use reasonable administrative, technical, and organizational safeguards to protect personal information. These may include access controls, authentication measures, encryption in transit, vendor restrictions, and internal policies.

We keep personal information only as long as reasonably necessary for the purposes described in this Statement, unless a longer period is required for legal, tax, audit, grant reporting, dispute resolution, security, or compliance reasons.

For example, we generally retain newsletter information until you unsubscribe or request deletion, event information for a reasonable period after the event, and member, working group, and partner relationship information for the duration of the relationship and a reasonable period afterward.

When personal information is no longer needed, we take steps to delete or securely dispose of it.

7. Your Choices and Rights

Depending on where you live, you may have rights to:

  • request access to personal information we hold about you;
  • request correction or deletion of your information;
  • request a copy of your information in a usable format;
  • object to or restrict certain processing;
  • opt out of targeted advertising or similar uses, where applicable;
  • withdraw consent where processing is based on consent; and
  • file a complaint with a privacy regulator or supervisory authority.

8. Legal Basis for Processing

Where applicable law requires a legal basis for processing personal information, we rely on one or more of the following:

  • Consent, where you have given consent, such as for newsletters or optional cookies where required.
  • Contract or participation, where processing is needed to register you for an event, support your participation in a program, or manage a member or partner relationship.
  • Legitimate interests, such as operating our nonprofit, communicating with our community, improving programs, securing our systems, coordinating with AI Alliance Innovation Association where appropriate, and advancing our mission.
  • Legal obligations, such as tax, audit, accounting, grant reporting, regulatory, or compliance obligations.

We may update this Privacy Statement from time to time. If we make material changes, we will update the effective date and provide notice where appropriate. Previous versions may be available on request.
